The Ashley Down After School Club Committee
The After School Club can only run if it has a committee of parents who oversee various aspects of the Club's management.
Committee roles
The four named positions are: Chair, Vice Chair, Secretary and Treasurer. In addition, various parents who do not have a named position are also members of the management committee. The activities involved in the various roles are explained below.
Chair's role
- Oversee the running of the club;
- Make sure that the club is run according to the constitution;
- Be spokesperson for the organisation;
- Line management and support of Co-ordinator;
- Recruitment of key staff
- Chair Committee meetings;
- Report to Annual General Meeting
- Project liaison with committee;
- Set up and maintain meetings with School Heads;
- Liaison with external bodies (Ofsted, BAND etc.)
- Liaison with landlords;
- Lead funding bids and deal with the monitoring required by funders
The Chair usually spends about 10 hours a term on Club activities. Currently, this position is filled by Emma Hallett.
Vice-chair's role
- Sign cheques
- Lead on holiday playschemes
- Meet with the Heads of the schools
The Vice-Chair usually spends about 5 hours a term on Club activities. Currently, this position is filled by Vicky Goodwin.
Treasurer's role
- Recording payments in fees reconciliation forms and accounts spreadsheet with Co-ordinator/ playworkers
- Occasionally check petty cash administration, payment of expenses, collection of cash from bank
- Termly invoice preparation
- Ongoing Account admin (debt collection, sending out reminders and outstanding information)
- Monthly Bank account reconciliation
- Cashflow checks
- Liaison with bank e.g. signatures/ transferring money between accounts
- Liaise with Coordinator to collect information on debt payment and club attendance
The Treasurer usually spends about 10 hours a term on Club activities. Currently, this position is filled by Wen Bi.
Secretary's role
- Organise termly committee meetings e.g. send out agenda
- Type up committee meetings
The Secretary usually spends about 4 hours a term on Club activities. Currently, this position is filled by Shawn Pearson.
Other committee members
In addition, other committee members are: Andrea Brunt, Clair Syrett, Klaus Mcclean, Steinar Wedvik.
In the past year, these members, along with the rest of the committee, have:
- Updated the website
- Sent e-mails to parents
- Organised and volunteered at fundraising events (e.g. discos, school fairs, cake sales)
- Banked cash and cheques
- Organised cheques for staff and other payments
- Put together and sent out newsletters
- Maintained a health and safety monitoring system
- Organised the Annual General Meeting in June
- Cleared out the Afterschool Club Office
- Re-assembled a donated storage shed outside the church hall!
Committee meetings take place once a term and usually last for 1 and a half to 2 hours.
